Position Summary
The Office Coordinator supports the daily operations of the office and helps ensure a welcoming and organized environment for staff, volunteers, and clients. This role provides essential administrative support to leadership, educators and financial coaches, assisting with scheduling, client follow-up and general office coordination. This role is vital in ensuring our programs run smoothly, our volunteer resources are ready for use, and our clients receive timely, professional communication.
Key Responsibilities
Communication & Correspondence
Answer and direct incoming phone calls and respond to general inquiries
Manage the general organizational email inbox, routing inquiries to the appropriate department and performing necessary follow-ups
Greet visitors and help create a welcoming, culturally grounded office environment
Program & Staff Support
Assist program leadership, educators, and coaches with scheduling appointments and meetings
Follow up with clients regarding appointments, workshops, and program participation
Maintain calendars and support coordination of program activities
Assist with preparing materials for workshops, meetings, and events, occasionally outside core business hours
Support basic data entry and record-keeping in internal databases
Office & Resource Management
Perform light office maintenance, ensuring a clean, organized, and professional workspace
Track office supply inventory and proactively place orders when needed
Organize and track volunteer resources, including the distribution and storage of laptops and other equipment
Coordinate logistics for volunteer events, including ordering refreshments and setting up necessary materials
Open and distribute incoming mail and packages
Other Duties as Assigned
Qualifications
High school diploma or equivalent required
2+ years of administrative, office, or customer service experience
Strong organizational and time management skills with an eye for detail
Friendly and professional communication skills (written and verbal)
Ability to manage multiple tasks and prioritize effectively in a team environment
Demonstrated proficiency with Google Workspace or Microsoft 365
Proven ability to learn new software and technology quickly
Ability to occasionally assist with events outside of core business hours
Demonstrated ability to handle sensitive information with discretion and maintain strict client and organizational confidentiality as a non-negotiable
Preferred Qualifications
Experience working in a nonprofit or community-based organization
Experience scheduling appointments and supporting client-facing services
Lived experience or demonstrated cultural humility working with the Native community
Physical Requirements
While performing the duties of this job, the employee is regularly required to use hands to handle or feel, and reach with hands and arms. The employee is required daily to stand, walk, sit, stoop, kneel or crouch. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust visual focus. Specific hearing abilities required by this job include the ability to hear and understand spoken conversations in close and far range.
Compensation
$22.00-$27.00 per hour, full-time
